What a real team pays

SeatsPlus (monthly)Plus (yearly, up to 20% off)Business (monthly)

5$50/monthfrom $40/month$100/month
10$100/monthfrom $80/month$200/month

Is the free plan enough?

For one person, usually yes: blocks are unlimited when you work alone. As soon as a second member joins the workspace, blocks become limited, file uploads are capped at 5 MB and page history at 7 days. Small teams that collaborate daily usually need Plus.

Notion vs project management tools

Notion is best for documentation, wikis and light databases. If your team mainly tracks tasks with deadlines and automations, a dedicated tool can cost the same and do more:

  • ClickUp Core: $9 per user (annual), with docs and 1,000 automations a month.
  • monday.com Basic: $9 per seat (annual, 3-seat minimum).

Monthly or yearly billing?

Notion lists $10 (Plus) and $20 (Business) per seat on monthly billing and says yearly billing saves up to 20%. At the full 20% discount, the yearly equivalent would be $8 and $16 per seat per month.

3-year cost for a growing team

A team that starts with 5 people and doubles each year:

Year (seats)Plus (monthly)Plus (yearly, at 20% off)Business (monthly)
Year 1 (5)$600$480$1,200
Year 2 (10)$1,200$960$2,400
Year 3 (20)$2,400$1,920$4,800
Total$4,200$3,360$8,400

Which plan fits your situation?

  • Working alone: Free. Blocks are unlimited for a single member.
  • A small team sharing docs and wikis every day: Plus, to remove block limits and get custom forms.
  • A company that needs more admin control: compare Business with Plus before upgrading; it costs twice as much per seat.
  • A team that mostly manages tasks with deadlines and automations: a project tool such as ClickUp or monday.com may cost the same and do more.

Watch the AI costs

Notion's newer features — dashboards, Workers and Custom Agents — consume Notion credits. If your team plans to use them heavily, estimate credit usage during a trial before you commit, because it adds to the seat price.

Questions to ask before you buy

  1. How many members will edit, and how many can be guests? The free plan includes up to 10 guests.
  2. Do you upload files larger than 5 MB? The free plan caps each file at 5 MB.
  3. Do you need page history longer than 7 days?
  4. Which AI features will you use, and how many credits will they need?

Notion terms explained
