What Is Zapier? How It Works, What It Costs and When to Use It

Zapier is a no-code automation tool that connects your apps so data moves between them automatically. You build "Zaps": when something happens in one app (a trigger), Zapier performs actions in others. It is the easiest automation tool to learn and has the largest library of app integrations. Zapier is free for 100 tasks a month; Professional costs $19.99 a month for 750 tasks on annual billing.

How Zapier works

Triggers

A trigger is the event that starts a Zap: a new form submission, a new email with an attachment, a new row in a spreadsheet, a new payment. Zapier checks for new data on a schedule (every 15 minutes on Free, every 2 minutes on Professional, every minute on Team) or instantly when the app supports it.

Actions

Actions are what Zapier does next: create a contact, send a message, add a row, upload a file. Each successful action uses one task.

Multi-step Zaps, filters and paths

On paid plans, a Zap can chain many actions, filter out items that don't match conditions, and branch into different paths. The free plan only allows two-step Zaps: one trigger and one action.

The number that matters is tasks. A 5-action Zap that runs 150 times a month uses 750 tasks: all of Professional's allowance. Read our full Zapier pricing guide.

Why people use Zapier

  • No code. Anyone can build a Zap in minutes.
  • Integrations. Zapier connects with more apps than any other automation tool.
  • Reliability. It handles retries and logs every run.
  • Speed to value. For simple automations, nothing is faster to set up.

Zapier's limits

  • Cost at volume. Per-task billing makes long, frequent Zaps expensive.
  • Free plan restrictions. Two-step Zaps and 15-minute polling.
  • No self-hosting. Your data flows through Zapier's cloud.
  • Complex logic is possible but less natural than in visual builders such as Make or n8n.

How to get started with Zapier

  1. List three repetitive tasks you do every week that involve copying data between apps.
  2. Start with a two-step Zap on the free plan to learn triggers and actions.
  3. Test with real data and check the Zap history.
  4. Count tasks for a week before choosing a paid plan.
  5. Add filters early so Zaps stop before using tasks on irrelevant items.

How to keep Zapier costs down

  • Remove actions you don't need: each one costs a task on every run.
  • Use filters at the start of Zaps.
  • Combine related actions where an app allows bulk operations.
  • Move high-volume, multi-step workflows to Make or n8n, and keep Zapier for apps only it supports.
  • Choose annual billing: Professional drops from $29.99 to $19.99.

Zapier terms explained

  • Zap: an automated workflow with one trigger and one or more actions.
  • Trigger: the event that starts a Zap.
  • Action: a step Zapier performs; each successful action is one task.
  • Task: Zapier's billing unit.
  • Polling interval: how often Zapier checks an app for new data.
  • Premium app: an app integration available on paid plans.

Who should use Zapier?

  • Small businesses and solo founders who want automations without learning a technical tool.
  • Marketing and operations teams connecting many SaaS apps.
  • Teams that need an integration no other tool has.

Who should look elsewhere: teams running thousands of multi-step workflows a month, and companies that must keep data on their own servers.

How long does it take to set up a Zap?

A simple two-step Zap, such as saving new form leads to a spreadsheet, takes about 10 minutes the first time: connect both apps, pick the trigger, map the fields, test and turn it on. Multi-step Zaps with filters take longer mainly because you need to test each branch with real data.

Zapier security and reliability basics

  • Connect apps with accounts that have only the permissions the Zap needs.
  • Review Zap history weekly for errors and turn on error notifications.
  • Name Zaps clearly ("Typeform → HubSpot: new demo requests") so teammates understand them.
  • On Team, use shared app connections so Zaps don't break when someone leaves.

For the last row, compare Make pricing and n8n pricing: both count usage differently and usually cost less at that volume.

Zapier alternatives in one line each

  • Make: visual scenario builder, generous free plan (1,000 credits a month).
  • n8n: billed per workflow run, free to self-host, best for technical teams.
  • Activepieces: open source, free plan with unlimited flows.
  • Pabbly Connect: one-time lifetime plans instead of a subscription.

Our verdict

Zapier is the best place to start with automation if you are not technical. You will have your first useful Zap running in minutes, and its library of integrations means it almost always connects the apps you already use. Its weakness is cost: because every action is a task, multi-step workflows that run often become expensive quickly. A sensible path for a small business is to start on Zapier, learn which automations really matter, and move the high-volume ones to Make or n8n once the monthly bill grows.

How we compiled this page

We compared Zapier and its alternatives — Zaps, tasks, plans and per-task costs — using each vendor's official pricing and documentation, checked on October 29, 2026, and focused on what matters to small teams: the official pricing page and real workflow examples. Where a vendor hides its prices behind a calculator or a sales call, we used recent pricing guides and marked those figures with an asterisk. Prices and plans change often, so check the vendor's page before you buy, and tell us if something here is out of date.
